Snapshots explained

Snapshots let you capture a fixed, point-in-time version of any report. Unlike live reports, snapshots freeze the data, layout, notes, and comparisons exactly as they appeared when you created them. This makes snapshots ideal for sharing consistent results with owners, teammates, or clients — without worrying about live data changing later.

Creating a Snapshot

When you click Create Snapshot, a setup window will appear, prompting you to name and describe your snapshot before saving.

To create a snapshot:

  1. Open the report you want to capture (for example, Performance or Performance vs. Market).

  2. Click Create Snapshot in the upper-right corner.

  3. In the setup window:

    • Name: Enter a clear title that identifies the report and timeframe (e.g., Tampa Performance vs. Market – 10/10/2025).

    • Description: Optionally, add notes such as “September Owner Update” or “Duplicate for internal review.”

  4. Click Create to finalize.

Once saved, you’ll see a confirmation message appear:

From here, you can choose to Stay on report or View snapshot to open the new frozen version.

Note: Snapshots are static—they lock the report’s data and layout exactly as they appear at that moment. Future updates to live data won’t affect your snapshot.


Viewing a Snapshot

Selecting View Snapshot opens the frozen version of your report.

A banner at the top confirms the snapshot’s name and creation date, for example:

You are viewing a Report Snapshot of “Tampa Performance vs. Market” created on October 10, 2025.

This page mirrors your report’s structure—including Listing Highlights, Market Highlights, and Listing KPIs—but the data is locked in time.

At the top, you can:

  • Export PDF – Generate a presentation-ready version of the snapshot.

  • Comments – Open or close the right-hand comment panel.

  • Share – Send the snapshot to others for review.


Sharing a Snapshot

Before teammates can view or comment on a snapshot, it must first be shared with them.

You can only share snapshots with existing team members in your Wheelhouse account—external users (like property owners without access) won’t appear in the sharing field.

To share a snapshot:

  1. Click Share in the snapshot header.

  2. A small share window will appear.

  3. Enter the name or email of a team member.

  4. Click Send (or press Enter) to grant them access.

Once shared, the invited user(s) will be able to view the snapshot, add comments, and participate in discussions directly inside Wheelhouse.

Note: Use sharing to align property managers, revenue analysts, and owners around the same version of performance data.


Adding Comments and Mentions

Snapshots include a built-in comment sidebar, making collaboration simple and contextual.

To add comments:

  1. Open your saved snapshot.

  2. Click the Comments button in the header to open the sidebar.

  3. Type your comment, then use @mention to tag teammates or property owners.

  4. Press Submit to post.

Example:

“@Ryo Osari things seem to slow down, right?”

Comments remain tied to the snapshot itself, so discussions always stay linked to the exact version of the data being referenced.


Exporting Snapshots

You can export any snapshot as a PDF for sharing outside Wheelhouse.

Exports maintain the same layout and visual design, making them perfect for reports, presentations, or audits.

To export a snapshot:

  1. Open your snapshot.

  2. Click Export PDF in the header.

  3. The file will download as a polished, presentation-ready document.

Note: Exported PDFs are ideal for monthly performance reviews or owner updates—no manual formatting required.


Managing Snapshots

All the snapshots you’ve created or received are listed in the Reporting dashboard under the Your Snapshots section.

From here, you can easily review, access, and manage all saved versions of your reports.

  • Your Snapshots: Shows all snapshots you’ve personally created.

  • Shared Snapshots: Displays snapshots shared with you by other team members.

Each snapshot entry includes:

  • Name: The title of the snapshot (e.g., Tampa Performance vs Market – 10/10/2025).

  • Report: The original report the snapshot was created.

  • Comments: Number of comments or discussions on that snapshot.

  • Last Comment: The most recent interaction or note.

  • Created: The date the snapshot was made.

Note: Use this view to quickly track which reports have been shared, reviewed, or discussed recently.


What You’ll Learn From a Snapshot

Every report in Wheelhouse is designed to help you turn data into understanding.

As you explore your report, here’s what you’ll gain:

  • See performance clearly: Review how your listings are performing across key metrics like nightly revenue, occupancy, ADR, and booking pace—all in one place.

  • Spot meaningful trends: Identify where performance is improving or slowing down, and trace patterns across months or seasons.

  • Compare against context: If your report includes market data, you can quickly see whether your performance is above, below, or in line with local benchmarks.

  • Understand impact: Use visual KPIs and charts to connect the dots between pricing, demand, and booking outcomes—so you know what’s driving results.

  • Prepare for action: Each insight helps you decide what to do next—whether that’s adjusting rates, communicating updates to owners, or setting new performance targets.

For Example:

If your Performance vs. Market report shows your ADR is 8% higher than the market but occupancy is lagging, it could mean your price point is slightly above what guests are willing to pay. That’s a signal to test a small rate adjustment or run a promotion to close the gap.
